Privacy Notice
Purpose of this notice
This Privacy Notice explains how AIGC collects, uses, stores and protects personal information when individuals visit the AIGC website, contact AIGC, subscribe to updates, register for events, participate in AIGC activities or otherwise provide information to AIGC.
Who is responsible
The website is operated by the AIGC legal entity identified in the Legal Notice. The final published version should state the legal name, registered office and official privacy contact.
Information we may collect
Depending on the functions enabled on the website, AIGC may collect information that individuals provide directly, such as name, professional title, organisation, country, email address, areas of expertise, event registrations, messages or other information voluntarily submitted. Technical information may also be processed by hosting, security or analytics providers, such as IP address, browser type, device information, timestamps and basic usage data.
How information may be used
AIGC may use personal information to respond to enquiries, administer events and participation, maintain professional and expert records, communicate publications or updates requested by users, operate and secure the website, manage institutional relationships, support research and working-group activities, and comply with legal or administrative obligations.
Applications and Council access
Applications submitted through Participate are stored in a private database hosted in Frankfurt and reviewed by authorized Council members. Internal comments, decisions and audit records are retained with the application; rejection does not automatically delete a record.
Council access uses a private authorization roster and email Magic Links. The system stores verified account details, roles, Council confirmations, access events and recovery requests. Essential, time-limited session cookies support authenticated Council access. Magic Links and requested applicant messages are delivered through the configured email provider, Resend. Account recovery requires manual administrator verification.
For questions or requests concerning these records, contact info@aigovernancecorridor.org.
Legal and governance basis
AIGC will process personal information only for legitimate organisational purposes and in accordance with the law applicable to the AIGC entity and the relevant activity. Where an additional data-protection regime applies to a particular activity or individual, AIGC will apply the relevant requirements to that processing.
International users
AIGC is an international network. Personal information may therefore be processed or accessed in more than one country where necessary for an AIGC activity. Appropriate organisational and contractual safeguards should be used where required by applicable law.
Third-party service providers
AIGC may use third-party providers for website hosting, email, cloud storage, video conferencing, analytics, forms, document collaboration or similar functions. Such providers should receive only the information reasonably necessary to provide their service and should be subject to appropriate terms.
Retention
AIGC should retain personal information only for as long as reasonably necessary for the purpose for which it was collected, for legitimate institutional record-keeping, or where a longer period is required by applicable law or contractual obligations.
Security
AIGC will use reasonable technical and organisational measures appropriate to the nature of the information and the current scale of its operations. No internet-based system can be guaranteed to be completely secure.
Individual requests
Individuals may contact AIGC to ask questions about personal information held about them, request correction of inaccurate information, or raise a privacy concern. Where a particular law grants additional rights, AIGC will respond in accordance with that law.
Cookies and analytics
If the first website uses only essential technical cookies, this should be stated clearly. If non-essential analytics, advertising or tracking technologies are introduced, AIGC should publish an appropriate cookie notice and consent mechanism where required before enabling them.
Updates
This Privacy Notice may be updated as AIGC develops its services, technology, partnerships and legal structure. The website should show the date of the latest version.
